WP5 Management

This WP aims to develop financial and technical annual reports and conduct project management and coordination, and will be led by UBB, the coordinating institution. UBB and the Management Committee are the main structures to implement the management of the project. The management committee will consist of one member from each of the partner institutions, further referred as institutional coordinators. 


Partners will be encouraged to initiate online meetings whenever they are facing a problem or need additional information or support. The minutes of the meetings will include the agenda and management decisions. Also, this WP will ensure the development of technical and financial reports, delivered at the end of each year of the project (M13, M25, and M36). The coordinator will offer support for the partner institutions when completing the reports. The decision making-process within the project will be taken on a majority of votes. In the situations in which agreement cannot be reached, the decision will be taken by the PI, and in major issues, in consultation with Erasmus+ officers.
Tasks    

5.1 Project management

5.2 Kick-off meeting, which will host discussions on the practical and financial management of the project, and offer guidance on record keeping and administrative issues (i.e. memorandum of understanding, invoices, staff timesheets), and workshops to launch the Dissemination, Quality assurance framework and Project Management work packages.

5.3. Management Commitee
In order to ensure its sustainability and functionality of the project, a Management Comitee will be created. The commitee will be in charge of taking decisions and assuring the good functionality of the project. Each partner country will have a member in the Management Commitee.

5.4 Financial reports
Each partner institution will deliver a financial report at the end of year 1, 2 and 3 of the project. UBB will be responsible to provide support for the partners when completing the reports.
When preparing the reports, UBB will facilitate the communication between the partners through:
-    Onsite and online management and coordination meetings;
-    Other activities that involve travelling;
-    Online communication (emails).

5.5 Technical reports
Each partner institution will deliver a technical report at the end of year 1, 2 and 3 of the project. The technical reports will provide information about the implemented activities, the expected and obtained results and further actions to be implemented. UBB will be responsible to provide support for the partners when completing the reports.
When preparing the reports, UBB will facilitate the communication between the partners through:
-    Onsite and online management and coordination meetings;
-    Other activities that involve travelling;
-    Online communication (emails).

5.6 Final project conference
The final conference aims is to present the results obtained during the project and disseminate it at the international level. 3 academic members from each partner will participate at the Final Conference. Moreover, an extra day will be reserved for the partners of the project to discuss final management issues for preparing the final technical and financial reports, but also to think about further collaborations

UBB will lead this WP and will coordinate the implementation of the project activities. UBB will organize the kick-off meeting where all partners will sign a Memorandum of Understanding. All partners will collaborate to develop text for the project communication platform, one project logo and project social media profiles (Facebook, Twitter, LinkedIn);
UBB will compile information from al WP leaders and prepare financial reports and technical reports, and also organize and implement the final project conference.
All WP leaders will participate in three visual teleconference coordination meetings organized by UBB and in the coordination meetings form year 1 and 2 of the project.
